Join families affected by sudden unexpected/unexplained death in childhood at the 2019 SUDC Foundation Family Retreat to restore, reconnect and renew at the beautiful Wigwam Resort in Phoenix, Arizona. Attendees will come together for a weekend of self-care, information, education, and most importantly- a chance to bond with other families. 

The weekend retreat consists of organized activities, social bonding time and selected meals, while providing attendees with a glimpse of the Southwest. Programming begins on Friday, October 11th at 4pm and ends on  Sunday, October 13th at 1pm

Those who register for the retreat will be invited to participate in: 

  • Welcome Cocktail Hour Reception with Hors D’Oeuvres (Friday) 
  • Breakfast and Lunch on Full Retreat Day (Saturday) 
  • Farewell Brunch (Sunday) 
  • Constant opportunities to meet, connect and bond with other SUDC Foundation families 
  • Breakout sessions to learn more about SUDC Foundation happenings, self-care, event planning, and more, including noteworthy speakers 
  • Age-Appropriate Play Therapy and Interactive Activities for Children, Tweens and Teens (Ages 5 and up)
  • Themed Craft Making For All Ages (Children 4 and under with parent supervision)
  • Therapeutic and Scenic Yoga, Hiking, Running and Walking opportunities
  • Outdoor Ceremony of Light to Honor SUDC Children 
  • Private Family Gathering Space
  • Onsite Hotel Activities: 2 Resort-Themed Pools and Waterslides, 3 Onsite Golf Courses, Tennis, Volleyball, Arcade, Outdoor Games Including Bocce and Ping Pong, Aveda Salon and Spa, Fitness Center and Group Fitness Classes, Bike Rentals, Nightly Live Music, Resort Historical Tours

STEP 1- Registration

To register, please complete the Online Registration form below. Please note- all adult family members who will be attending the retreat must be registered with the Foundation. If you are not a registered member of the SUDC Foundation please go here to register, before registering for the Family Retreat. 

STEP 2- Travel
 

Hotel accommodations and flights are not included in the cost of the retreat, and do not require verification through the foundation. 

Please find below an outline of the dates, hotel rates, policies and booking instructions. Hotel rooms for 10/11- 10/13/19 retreat dates can be made by contacting Jill Ross at the Wigwam resort directly, please call 623 535 2559. There is a one-night deposit required to reserve your stay. Please note we advise you to make reservations as soon as possible to secure your space, as availability is limited.  Also, be sure to review the hotel’s cancellation policy outlined below to avoid any penalties should your plans change.

Rates:  

Adobe Traditional Double Room: $189 per night, plus sales and hotel occupancy tax (totaling 11.07%). 

  • Families mentioning the SUDC Foundation Family Retreat will be offered the $189 discounted rate on traditional rooms based on availablity. This rate does not include the daily resort fee of $9/day per room, and the $7/day gratuity fee for housekeeping and bellman staff, however these costs will be covered by the SUDC Foundation and should not be charged to your room.
  • Resort amenities include complimentary high speed internet service in all public space, lobby, and guest rooms (which includes up to 4 devices per day per paid room); access to state of the art fitness center, motion studio and group fitness classes; game room access including foosball, arcade games and televisions; use of indoor and outdoor games (bocce ball, ping pong, volleyball); unlimited local and toll-free calls; complimentary USA Today newspaper; business center services (fees may apply) with complimentary boarding pass printer and computer access; complimentary bike rentals based on availability; access to putting green, unlimited same day golf access with purchase of round (includes cart) and discounted pro shop items, complimentary tennis court usage (mid-day hours), discounted tennis lessons, and discounted Le-Monds Aveda salon and spa services, complimentary resort historical tour (Friday- Sunday at 10am).
  • Valet parking and self-parking are complimentary, as they are included in the resort fee mentioned above. 
  • All children 17 & under stay free of charge when accompanied by an adult in the same room. 
  • Maximum occupancy is 4 persons per room. 
  • The room rate includes the Adobe Traditional Double Queen bed rooms to accommodate most families, alternate bed and room types are available upon request by calling room reservations. Guarantees may be subject to an additional fee. 
  • Check in time is 4pm and check out time is 11am. Guests arriving prior to 4pm are welcome to enjoy resort amenities. Early check-in is based upon availability at time of arrival and cannot be guaranteed in advance. 
  • Reservations require a deposit of one night’s room and tax by credit card, to be charged upon time of booking. Deposit is refundable if cancelled at least eight days prior to arrival. In the event of a late cancellation, or no show, the guarantor will forfeit a charge equal to the total room revenue plus 11.07% tax. 
  • For those who would like to extend their stay, $189 nightly rate may be available 3 days pre and post retreat dates, depending on availability. A standard resort charge of $30 per day, room gratuity of $7 per day, plus 11.07% tax will apply to pre and post reservations. PLEASE NOTE: Rooms for Thursday evening, October 10th, are sold out.

Hotel cancellations are as follows: 

  • 30 days or more prior to arrival: Full refund 
  • Between 8-29 days prior to arrival: 1 night deposit penalty 
  • 7 days or less prior to arrival: Guest will be charged for entire stay 

You can make your hotel reservation at The Wigwam through any of the following: 

  1. *Preferred Method: Reservations can be made by calling the Group Coordinator at the Wigwam- Jill Ross- Direct Line: 623.535.2559 Email: jross@wigwamarizona.com between the hours of 8:00am-4:00pm Mountain Time, Monday thru Friday. If you cannot reach her or leave a message at this number, you may leave her a message at the Wigwam room reservation line at 800-327-0396. Please mention the SUDC Foundation Retreat Room Block and request the group rate of $189 for a standard room when calling. This rate will apply to reservations up to 3 days before and 3 days after the retreat period, which is a 2 night stay- Oct. 11 and Oct. 12). If you have general reservation or hotel questions that do not require Jill's attention, please request to speak to the In-House Reservation Department, as they are the only agents who handle reserved room blocks. Typical hours for this department are 7am-7pm Mon.-Fri., and 9am-4:30pm Sat. MST. PLEASE NOTE: Rooms for Thursday evening, October 10th, are sold out. There is also a waiting list that you can ask to be placed on which often yields new rooms as other groups cancel their slots.
     
  2. If you encounter any issues booking through the hotel directly, please contact Charissa Popp, Travel Advisor with Largay Travel via email at cpopp@largaytravel.com. Please include the following in your email: 
    • Full names and ages of all guests 
    • Requested dates 
    • Preferred bed type (for request only, not guaranteed) 
    • She will then email you a secure credit card authorization form to be completed and e-submitted to process your one-night deposit and secure your hotel reservation. 
    • Travel insurance quotes can also be requested through Charissa. 

Airfare:

The Wigwam is located approximately 30 minutes from Phoenix Sky Harbor International Airport (PHX). You can book your flight one of the following ways: 

On Your Own- Booking direct through a specific airline of choice, or online via discount websites such as Kayak, Expedia, or Priceline. 

Through a Travel Advisor- If you prefer to hire a travel advisor to research and secure your flights, contact Charissa Popp at cpopp@largaytravel.com.  She will work with her agency’s air specialists to share options and book flights for you. Note-the Largay Travel air team has a research and ticketing fee of $40 per person (for domestic flights) that must be paid upfront. Her agency typically matches the published rates on the airlines’ websites. Please email the following information to Charissa Popp so she can send you a credit card authorization form to cover the planning/ticketing fee and send you flight options:  

  • Full names (exactly as they appear on IDs) 
  • Birthdates 
  • Class of service (economy, economy plus, business) 
  • Departure city, Arrival city (PHX, unless an alt. is requested) 
  • Preferred travel times and preferred airlines 

Ground Transportation:

Please utilize ground transportation options from the airport as a hotel shuttle is not provided. 

Individual transportation options include: 

  • Booking your own rental car (Parking will be complimentary at the resort.) 
  • Super Shuttle cost: $27 one-way https://www.supershuttle.com/locations/phoenix-phx-aza/ 
  • Uber/Lyft cost:  $25-$50 one-way (depending on surge rates) 
  • Taxi cost:  $75 one-way 

Estimated Costs:

In addition to airfare and hotel expenses, attendees should plan to pay for ground transportation (estimates above) to and from hotel if needed, 2 dinners, and other optional expenses. All other meals, resort fees, and gratuities will be covered by the SUDC Foundation.
