Bookkeeper

Job Reports To: Executive Director
Rate: $35.00-40.00/hour
Employee Non-Exempt Status: 10 - 15 hours per week, M-F
Employment Type: Part-time, Flex-time, Hybrid Work
Location: Roseland, NJ

Position Summary
This part time employee position is responsible for aspects related to management of fiscal responsibilities of the SUDC Foundation. Responsibilities include, but are not limited, to the following: Record day to day financial transactions and complete posting process. Create and analyze financial reports and ensure legal compliance, process accounts payable and receivable, manage invoices and tax payments, administer ADP payroll and HR records (time-off requests), reconcile accounts to ensure their accuracy and assist in annual audit. They also work closely with the contracted accounting firm and provides all necessary financial data for annual audit and 990.

This position reports to the Executive Director to meet the needs of the Foundation. Flexible work schedule: hybrid/remote. Individual will need to occasionally pick up paper checks and back up at our Roseland, NJ office.

 

Administrative:

  • Provide internal administrative oversight for organization budget compliance.
  • Administer ADP payroll and HR record keeping Time off requests, Reimbursements.
  • Manage all aspects of foundation accounting receivables and payables with bimonthly income reports, and monthly budget actuals. Manage Annual Audit and Tax Returns.
  • Reconciles bank accounts and provides monthly reports to Executive Director and Treasurer.
  • Keeps clear records of all Foundation account activity and alerts Executive Director of any discrepancies or essential actions in a timely manner. Reconciles credit card statements.
  • Provides P&L and budget to actual reports for Quarterly Board of Directors meetings.
  • Manage purchase orders upon approval.

 

Other: Execute all other reasonable duties and projects as assigned by the Executive Director

 

Skills and Abilities Required:
Qualified candidates will have three (3) or more years of nonprofit bookkeeping experience and be highly proficient in Microsoft Excel, QuickBooks applications and ADP processes. Excellent project management, organizational skills and managing processes. Highest professionalism and attention to detail required. Ability to deal with a diversity of individuals at all organizational levels.

 

Education and or Experience:
Associate's Degree (AA/AS) or equivalent; three to five years related experience; or equivalent combination of education and experience.

Candidate will follow the Foundation’s code of conduct and ethics guidelines and complete the Foundation’s training in HIPAA.
